Advertising & Marketing Rules:
Receive and respond to complaints and requests for
information from patients, employees and the general
public, while attempting to coordinate the resolution of
each complaint or request. · Manage special projects as
assigned by Vice Presidents or COOCNE. · May provide
support to the Executive Assistant and CEO, with the
ability to work well with all seven publicly-elected
Board members. · Arrange travel to conferences and other
hospital related activities, including expense
reimbursements.
Screens telephone calls and unscheduled visits to Vice Presidents or COOCNE, routing to appropriate individual and following through in areas when appropriate.
Responsible for timely processing of Personnel Action Forms and timekeeping. Maintains personnel files for all staff reporting to the Vice President or COOCNE. · Performs additional administrative duties to facilitate the effective functioning of the administrative offices. · Takes initiative and utilizes judgment concerning sensitive administrative matters. ·
Compiles, prepares and submits information for the Vice Presidents or COOCNE’s “Weekly Updates” and “End of Month” reports. · Track monthly volume and budget reports, notifying the Vice President or COOCNE of variances. Monitors contracts (example, physician, vendor or consultants) and timely processing of payments. · Assist in compiling and assembling Strategic Plan andor Hospital Wide Operations Plan (example, Professional Affairs, Human Resources, or Finance, Operations & Planning), including quarterly updates, budget and other reports and presentations. · Staffs assigned Committee of the Board of Directors.
Composes necessary letters, memorandums, or reports. Maintains complete files on correspondence, department information, contracts, meeting minutes, physician correspondence and all other appropriate information. · Collaborate with chair to develop agendas, arrange for presentation materials and record proceedings for staff designated Board Committees (i.e. Professional Affairs Committee). Prepares for various hospital committee meetings, including agendas, minutes and meeting arrangements. Effectively communicate with visitors, administrative staff, Auxiliary, Foundation, Medical Staff, members of the Board of Directors, patients and employees.
